Office Specialist

In this position, you will provide exceptional customer service to citizens by assisting visitors and answering telephones in support of the Colorado Springs Police Department.

Essential Job Functions
Type supplemental reports, letters, memos, arrest warrants, and miscellaneous items, including probable cause and 41.1's (biological samples)
Organize and maintain office filing system
Prepare cases for archives; review cases currently archived for purging per standard operating procedure
Assist with ordering and maintaining office supplies and equipment
Provide detectives additional information for cases by accessing criminal histories, utilities, field investigative reports, victim files, DataMart, Action Viewer, Colorado courts, and the CLEAR database
Process subpoenas for officers testifying in court
Notarize documents for detectives
Monitor and maintain divisional cleanliness and orderliness
Provide support for various programs such as fugitive apprehension, CrimeStoppers, victim advocacy, etc.
Maintain and update phone roster and other records
Assist with mail, messages, and general support of division personnel
We are looking for candidates who demonstrate:

Knowledge of:
Modern office procedures and equipment, including computers and supporting software, especially Microsoft Office (Word, Excel, Access, and Outlook)
Proper English usage, spelling, punctuation, and grammar
Ability to:
Work independently and under pressure
Use tapes and digital equipment for dictation
Communicate clearly and concisely, verbally and in writing
Establish and maintain effective working relationships
Successful candidate will have:
A high school diploma or GED
One year of full-time clerical or related support experience
Possess, or obtain upon hire, and maintain a valid Colorado driver's license
Possess, or obtain within six months of hire, commission as a Colorado Notary Public
Ideal candidate will also have:
Specialized training in clerical practices, accounting, typing, or other related field
Additional Information:
This position requires a resourceful individual with strong organizational, telephone, and people skills.
